We take your privacy seriously - here's how we handle your info

Last Updated: October 31, 2025

Look, we're gonna be straight with you. We're mechanics, not data miners. We only collect what we need to fix your ride and keep things running smooth. This policy explains what info we gather, why we need it, and what we do with it.

When you bring your European performance car to us, we're gonna need some basic details:

  • Personal Stuff: Your name, phone number, email address - pretty standard. We need to reach you when your BMW's ready, right?
  • Vehicle Info: Make, model, year, VIN number. Can't work on your Porsche if we don't know what we're dealing with.
  • Service History: What we've done to your car before. Helps us track patterns and catch issues early.
  • Payment Details: Credit card info gets processed through our secure payment processor - we don't actually store that ourselves.
  • Diagnostic Data: When we hook up to your car's ECU, we pull codes and performance data. That's yours, not ours to share.
  • Website Activity: Cookies and stuff that help the site work better. Nothing creepy though.

We're not out here selling your data or anything shady like that. Here's what we actually do with it:

  • Service Your Vehicle: Obviously. Can't fix your Audi without knowing who owns it.
  • Schedule Appointments: Booking system needs your contact info to send confirmations and reminders.
  • Process Payments: Gotta get paid for the work we do. All secure and encrypted.
  • Send Service Reminders: We'll ping you when it's time for that oil change or inspection. You can opt out anytime.
  • Improve Our Services: Feedback helps us get better at what we do.
  • Legal Compliance: Sometimes we gotta keep records for warranty claims or regulations. It's just business.
  • Safety Recalls: If your manufacturer issues a recall, we might reach out. Safety first.

We don't sell or rent your personal info. Period. But there are a few situations where we might need to share it:

  • Parts Suppliers: Sometimes we need to order specific parts and they'll need your vehicle details. That's it though.
  • Payment Processors: Your credit card info goes through them, not us. They've got bank-level security.
  • Insurance Companies: Only if you ask us to send them repair estimates or documentation.
  • Legal Requirements: If the cops show up with a warrant or we're legally required to disclose something, we gotta comply.
  • Warranty Claims: Manufacturers might need service records if you're filing a warranty claim.

That's pretty much it. We're not in the business of spreading your info around.

We take security seriously. Your info's protected with:

  • Encrypted Storage: All digital records are encrypted. No plain text sitting around.
  • Secure Servers: Our systems are hosted in Canada with proper security measures.
  • Limited Access: Only staff who need your info to do their job can access it. Not everyone in the shop can see everything.
  • Regular Backups: We back everything up so your service history doesn't just disappear.
  • Physical Security: Paper files are locked up. We're not leaving your info lying around the shop.

That said, nothing's 100% hack-proof. We do our best, but if something happens, we'll let you know right away.

Yeah, we use cookies. Not the chocolate chip kind unfortunately. Here's what's happening:

  • Essential Cookies: These make the site actually work - login sessions, booking forms, that kinda stuff.
  • Analytics: We track basic stuff like how many people visit and which pages they check out. Helps us make the site better.
  • Preferences: Remembers your settings so you don't have to keep entering the same info.

You can disable cookies in your browser if you want, but some stuff might not work right. Most browsers let you block third-party cookies while keeping the useful ones.

Under Canadian privacy law (PIPEDA), you've got some rights here:

  • Access Your Data: You can ask to see what info we've got on you. Just give us a call.
  • Correct Mistakes: If something's wrong in your records, let us know and we'll fix it.
  • Request Deletion: Want us to delete your info? We can do that, though we might need to keep some stuff for legal reasons (like tax records).
  • Opt Out of Marketing: Don't want service reminders or promotional emails? No problem - just unsubscribe or tell us.
  • Withdraw Consent: You can change your mind about how we use your info anytime.

To exercise any of these rights, shoot us an email at service@zephyrixascend.info or call (604) 555-2847. We'll get back to you within 30 days.

We keep your info for as long as it makes sense:

  • Active Customers: As long as you're bringing your car to us, we'll keep your records.
  • Inactive Accounts: If we haven't seen you in 7 years, we'll likely purge your non-essential data. Service history might stick around longer for warranty purposes.
  • Financial Records: Tax law says we gotta keep these for 7 years minimum.
  • Legal Holds: If there's an ongoing warranty claim or legal matter, we keep everything until it's resolved.

Once we don't need your info anymore, we securely delete or destroy it.

Our website might link to other sites - parts suppliers, manufacturer info, that sorta thing. Once you click away from our site, our privacy policy doesn't apply anymore. Those other sites have their own policies, and honestly, we can't control what they do.

We try to only link to legit sites, but do your own homework before sharing personal info elsewhere.

Our services aren't directed at kids under 16. We don't knowingly collect info from minors. If you're under 16 and bringing your car in (lucky you), we'll need a parent or guardian to handle the paperwork.

If we find out we've accidentally collected info from someone under 16, we'll delete it ASAP.

We might update this policy from time to time - new laws, new services, whatever. When we do, we'll update the date at the top and post the new version here.

If we make any major changes to how we handle your data, we'll shoot you an email or post a notice on the site. We won't pull any sneaky stuff though.

It's probably a good idea to check this page every now and then, just to stay in the loop.

Got questions about how we handle your info? Concerns about your data? Just wanna chat about privacy stuff? Hit us up:

Bottom Line: We're here to work on your car, not mess around with your personal info. We collect what we need, protect it properly, and don't share it unless we have to. If you've got concerns, talk to us. We're real people running a real shop, and we want you to feel comfortable bringing your ride to us.
